We support a few different deposit options on bookings:
- "Pay nothing now" (like on booking.com) - it is important to note that this is payment-provider specific (currently only supported by Stripe) and on refundable rates allows us to tokenise the customer card and then attempt to take payment just before the product cancellation date - if the payment fails then we will automatically cancel the booking with the supplier. There are various settings available for this, please contact us if you would like to use this option.
- Standard deposits - this is set up by you in your Travelify Deposit Rules and asks the customer for a standard deposit amount, followed by the balance due a number of weeks before travel.
- Low/monthly deposits - this is set up by you in your Travelify Deposit Rules and asks the customer for a low initial deposit amount followed by monthly installments for the remainder of the amount.
- Supplier deposits - this is supplier-specific (eg. Jet2 Holidays) where we receive deposit information (amount and due date) via the API and this is shown to the customer as the deposit option.
Frequently Asked Questions
- On a flight + hotel search, what happens if we offer a deposit on the accommodation but not on the flights?
We combine the deposit options from each of the products, so if one product (eg. flight) does not offer a deposit option, then we take the full price of that product and add it to the initial deposit amount of the other product (eg. hotel) - Do you offer deposits on upsell products on the "extras" page (e.g. car rental & transfers)?
Unfortunately we do not offer upsell product deposits on the extras page (you can still take deposits on these products in their own standalone booking flows), but it is coming soon. Any upsell products that customers select on the extras page will be added to the initial amount for payment straight away
To manage your deposits for options 2 & 3, select "Deposit Rules" in your left-hand Travelify menu.
Deposit Options
The first step is to set up your deposit options - these are the options that are shown to your customer for selection of which option they would like to select (below is an example of the front end customer selection screen showing some of the example options).
Click on the "Manage Deposit Options" button at the top of the rules manager page.
You can now set up the different options available for a client and some of the settings that are required to correctly calculate the amounts.
- Name - this is the name of the deposit option for your reference and it also displays in the "tab" on the front end as shown in the screenshot above.
- Message - this is the summary message that is shown to the customer. Below the field, you will see some template fields that you can use to populate dynamic values into the message, such as the calculated amount which is particularly useful if you are basic the calculations on percentages.
- Amount - The is the initial deposit amount which can either be a fixed amount of a percentage (check the percentage box) of the order total
- Minimum amount - this is the minimum initial deposit amount that will be charged. For example, if the percentage of the order total drops below this amount, then we will increase the initial amount to this minimum
- Currency - the currency used for any calculations (usually your default currency)
- Minimum Days Before - this is the minimum days before travel that this option will be displayed. Please note that your deposit rules (see further down) will have their own days before setting, but you can also set the minimum days before for each option
- Installments - use this option if you want to allow multiple installments on your deposit option
Example Standard Deposit Settings
This example shows you how to set up a standard deposit (no installments) with an initial deposit amount of 25% (minimum of 50 GBP).
Example Low Deposit Settings
This example shows you how to set up a low deposit with an initial deposit amount of 12.5% (minimum of 20 GBP), followed by 2 monthly installments of 12.5% and then a final amount on the 3rd and final month (this is because you have set up 3 x 12.5% which only covers 37.5% of the total so we automatically put the leftover amount into a final installment).
Example Pay Monthly Settings
This example shows you how to set up a monthly deposit with an initial deposit amount of 16% (no minimum), followed by 6 monthly installments of 14% (in this case we do not add a final installment automatically as all the percentages add up to 100% of the order total).
Deposit Rules
Now that you have set up your deposit options, you will need to create the rules criteria (e.g. dates of travel, supplier, price, occupancy combination, etc) that need to apply to show the options to the customer.
Return to the Deposit Rules section and click on the "Add" button to create a new rule.
If you have set up Pricing Rules, then this section will look familiar with almost identical settings for all the rule criteria.
The first section at the top gives you some basic settings:
- Rule Name - this is your own rule name for your reference, it is not shown to the customer
- Priority - similar to pricing rules, it is the order in which the deposit rules are processed
- Enable Rule - a toggle to turn the rule on/off
- Deposit Options - you will need to select from the dropdown which of your deposit options you created in the previous section that you want to apply when this rule matches
- Minimum Days Before Travel - the minimum days before travel that this rule applies
- Due Date Days Before Travel - the minimum days before travel that the balance is due (this is a legacy setting which is now controlled in the deposit options and so we recommend setting this to 1)
You will then be presented with lots of different options to configure specifically if, when and how the deposit should appear - the booking will need to meet all of the criteria you set here before it will offer the deposit options you have selected to the customer:
- Passenger allocations
- Price ranges
- Booking dates
- Travel dates
- Search types (the type of search the customer has performed) - you must select at least one of these options
- Flights
- Accommodation
- Dynamic Packages (Flight + Hotel search)
- Packages (eg. Jet2/Olympic packages)
- Tickets & Attractions
- Transfers
- Airport extras (eg. airport lounges, parking, hotels, fasttrack security)
- Insurance
